Search Smarter, Not Harder inside PowerDMS

Have you ever found yourself hunting through PowerDMS for that one document… again? You’re not alone. Fortunately, PowerDMS offers more than one way to search—and with the right approach, you can save serious time and stress.

Find Anything Search Bar

Located in the left-hand blue column, the “Find Anything” search bar lets you enter a keyword and get immediate results from across your PowerDMS site. You’ll see highlighted snippets where the term appears. You can even drill down into specific folders or groups and take advantage of suggested filters to refine your search results.

Advanced Search

Just below the Find Anything bar is a link to Advanced Search, where you can apply filters based on content type—like document status, folder, or modified date. It opens in a separate window and is great when you’re looking for something specific like an old SOP or a user record.

Search Within a Document

When viewing a document, use the magnifying glass icon in the top-right corner. If the file is searchable, you’ll get a panel that lists every match in the document. Think of it like the Find function in Microsoft Word—perfect for lengthy directives or policies.

What Can’t You Search?

Unfortunately, PowerDMS doesn’t currently allow you to search keywords inside assessment files or standards manuals. But good news—I’m putting the finishing touches on an AI-powered search tool made just for accreditation managers and assessors. It will let you search standards directly and prepare for assessments and finally bridge this gap.
