PowerDMS Tasks: Streamline Accreditation Proof Tracking
One of the biggest challenges in accreditation is keeping track of proofs of compliance from year to year. Add in the need to update, organize, and share this information—and it can feel like an overwhelming burden.
But there's a simple, structured way to stay on top of everything—right inside PowerDMS.
By using PowerDMS Assessment Tasks, you can centralize all your accreditation responsibilities and maintain a clear, real-time view of your assessment progress. Here's how to get started:
Start at the Standard Level
Work through each standard in a sequence that works for you—top to bottom or reverse.
Review the Proofs of Compliance
For each bulleted item, decide what documentation or action is needed. Skip creating a task if the written directive is already in place and attached.
Create Your Task
Go to the right-hand column of the assessment window. Click the Tasks tab, then New Task.
Set Dates Wisely
Adjust the due date—consider starting at the beginning of your assessment year or the date the proof is due, with a buffer, if it is time sensitive.
Use Clear, Specific Language
Type out what’s required. Copy the language from the standard’s proof section, and then add the unit and/or the title of the person responsible.
Assign the Task
Choose the appropriate role (likely the Accreditation Manager). If you have team members you want to assign this task to the Team Member role.
Set the Recurrence
If the task is annual (or another frequency), set the recurrence and choose the end of your accreditation cycle as the end date.
Click Save
Repeat this process for all standards requiring compliance.
When a proof is received and uploaded, go back to the corresponding task and mark it “Complete.” Edit tasks only when needed, and avoid deleting them—completed tasks serve as a vital part of your accreditation history, plus they can be copied over to future assessments.
Navigate to the root of the assessment, click Tasks in the blue header, and use filters to view current, upcoming, or completed tasks. The keyword filter is especially helpful—search by unit or position title.
Once filtered, click Search. You’ll get a real-time overview of outstanding tasks. You can even export and send these to specific units or commanders to keep everyone informed and accountable.
