Best Option for PDFs
There are many ways to convert documents into PDF format, and you may already be using one or more of them:
Downloading a PDF email attachment
Saving a Word document as an Adobe PDF
Scanning a paper document to PDF
Printing an email and scanning it
Printing to Adobe PDF
Microsoft Print to PDF
While all of these options technically work, my preferred method is Microsoft Print to PDF.
Why?
Because it flattens the document. Flattening removes layers, embedded features, and formatting quirks that can cause documents to display poorly once uploaded. More importantly, it consistently creates a clean, easy-to-view PDF inside PowerDMS.
Here’s how to use it in common situations:
If you receive a proof by email — whether it’s a Word document, Excel file, PowerPoint, or even an existing PDF — choose Print, then select Microsoft Print to PDF from the printer dropdown. Choose where you want to save the file, name it clearly, and save.
The same applies when using emails themselves as proofs. Instead of saving the email directly, print it using Microsoft Print to PDF first.
As for proofs you’ve already uploaded, there’s no need to revisit them unless you notice something off. If a document looks skewed, blurry, or different from the original when viewed inside the assessment, open it again, print it using Microsoft Print to PDF, and reattach the newly generated version.
This simple step can dramatically improve readability and create a more consistent viewing experience for assessors.
